Main duties of the job

The theatre education team is looking for an individual to provide comprehensive personal, secretarial, and administrative service to the Education Lead and the Nurse education team.Ìý

We are looking for an individual with good organisation skills, excellent communication skills and highly motivated.Ìý

We deliver specialist services through nearly 40 theatres including being a specialist centres for a MTC.Ìý

The education team are responsible for delivering an extensive programme of training and development to staff and students locally and specialist courses to the wider region. This role provides administrative oversight including the financial aspects of these programmes. It involves collaboration with the clinical team of nurse educators, nurses, doctors, specialist nurses and the senior management team as well as liaising with universities, other hospital trusts and the operational delivery network (ODN).Ìý

Detailed job description and main responsibilities

The successful candidate will be expected to work a range of shifts to support the education team. This may include the occasional weekend if they are required to support with careers, training or university open days. Some discussion and flexibility can be offered around the working week, but we would be looking for the successful candidate to be available Monday to Friday 8-4. Ability to travel across sites and to open days will also be required as we cover Lymington hospital as well.Ìý

We are looking for an individual to help and fulfil with the following roles and responsibilitiesÌý

To provide a comprehensive personal, secretarial, and administrative service to the Education Lead and the Nurse education team, ensuring teaching schedules are written shared and monitored raising concerns with regards to gaps/organising emergency cover as required.Ìý

Work with the Multi Disciplinary Team to ensure data is collected/recorded, validated and uploaded to local and national systems within required timescales, auditing as required to ensure data quality is maintained.

Maintain and update rosters for the education team, support the local rostering policies and ways of working, recording annual, sick or other leave as required.

Participate in the development of policies and processes which enables the Education team to monitor and report against education quality

Support the development of IT resources, processes and systems as part of the Nurse education team.

Be able and trained in using the Oracle ordering system to order stationery and education supplies/equipment, Also using the system to support the education lead with raising requisitions and purchase orders for a variety of courses and conferences.Ìý

Qualifications, Knowledge & Experience

Essential criteria
  • GCSE Maths and English (grade C equivalent or above)
  • Educated to NVQ3 standard in a relevant subject or able to demonstrate an equivalent level of knowledge and skills plus proven experience and specialist knowledge of project administration
  • Evidence of continuing professional development
  • Evidence in Data Management experience/skills
  • Good excel and report writing skills
  • Demonstrate a good understanding and importance of confidentiality and data protection
  • Able to clearly and accurately present complex information both verbally and in suitable written formats to staff at all levels
  • Able to learn and assimilate information quickly
  • Positive attitude to change
  • Dealing with data that may be of a sensitive nature
Desirable criteria
  • Degree or equivalent
  • Relevant ECDL or equivalent computer literacy course
  • Advanced skills in MS excel, Access, Word and Business objects with ability to use standard formulae and write queries
  • Patient Administration System trained
  • Experience working within the healthcare sector
