Band 3 Receptionist (Occupational Health Department)

The receptionist provides a full and efficient reception service to the Occupational Health Department supporting the day to day running of the department including the Occupational Health team, Staff physiotherapy service and Staff Psychological support service.听

Managing all enquiries to the department both telephone and email.听

Managing the department appointment diary including scheduling and/or cancellation of appointments as required.

Managing the immunisation report request process including payments where required.

Main duties of the job

Responsible for dealing with queries from clients, external contracts, staff and external agencies, answering queries where possible and ensuring that queries that need to be passed on are done so in an efficient manner.

Support the management of Occupational Health clinics including responsibility arranging a nurse and/or doctor appointment as necessary (including management referrals and pre employment health screens).

To assist Associated Director Occupational Health & Wellbeing and the Occupational Health staff in providing a well run Occupational Health Department.

To be able to use judgement to know who to refer urgent enquiries to within the department and ensure that they are made aware of them.

To carry out other clerical duties of a similar nature consistent with the responsibilities of the grade and needs of the service.

Working for our organisation

The post holder will form part of the administration team which supports the day-to-day running of the Occupational Health department.

The Occupational Health team consists of teams of nurses and a Consultant Physician.

In addition both the Staff Physiotherapist service and the Staff Psychological support service are based in the building and form part of the wide Occupational Health & Wellbeing service.听

The Occupational Health and Wellbeing teams work closely with each other and effective communication is key.

The department is part of the Workforce directorate within the Corporate division of the Trust.听

Given our department function we interact with colleagues from all areas of the Trust.

The key duties of this role involves providing an effective and efficient receptionist service for the Occupational Health and Wellbeing teams based in the Occupational Health building.

Qualifications

Essential criteria
  • GCSE or equivalent in English and Maths / NVQ level 3
  • Able to speak, write and type concisely and legibly in English
  • Accurate keyboard skills
Desirable criteria
  • Knowledge of medical terminology
  • ICT qualification or equivalent

Experience

Essential criteria
  • Previous receptionist experience
  • Experience of using computerised diary booking systems
  • Proficient in using MS Office 鈥 mainly Word, Excel and Outlook
Desirable criteria
  • Previous office and/or NHS experience

Knowledge & Skills

Essential criteria
  • Excellent communication skills both written and verbal
  • Able to work under own initiative, prioritise workload, meet deadlines and organise work accordingly
  • Understanding of how to maintain confidentiality privacy and dignity of users

  • Able to deal efficiently and sensitively with people in person and over the phone
