Job overview
- To work as part of the catering team in producing approximately 1600 patient meals and the
serving of 700 customers in the restaurant per day. - To assist in all aspects of clerical work within the office including, placing orders, maintaining systems, recording patient numbers and processing menus, dealing with customer requests, filing, typing and any other clerical duties as required.
- To assist with the smooth running and appearance of the Trust, the post holder is expected to be flexible and work across the Facilities Directorate and the Trust, as required and appropriate to the grade.
Main duties of the job
- 听Capital and Revenue Budgets 鈥 none
- 听Staff Numbers 鈥 none
- Other Statistics 鈥 deal with many phone call enquiries, assist in the processing of 1600 patient menus per day, and spend a minimum of 2 hours a day on the Catering software. Preparing and placing orders for over 30 different suppliers on a weekly basis. Producing menus / POS (marketing / posters) for the Restaurant based on Theme Days / Specials calendar provided by management. To ensure all hospitality is entered on the database / up date prices, and that all recharges / meal vouchers are completed. And that petty cash procedures are followed.
- Contribute to the successful overall performance of the Trust.
- Support the Trust culture of flexible cross-team working and commitment to delivering quality services and outcomes, which support the Government鈥檚 policies on public health.
- Ensure you are aware of relevant organisational communications.
- Attend training courses and development sessions when required, communication and briefing meetings, communicating positively contributing to the teams and Departments objectives.
- Proactively identify additional support services, which would increase the efficiency of those you support and instigate these activities in agreement with your team.
- Maintain and improve your knowledge & understanding of the health service arena generally and more specifically the area of focus for those you support.

Detailed job description and main responsibilities
Responsibilities
You are responsible for:
- Undertake collection and collation of the patient menu cards as required, including special diet requests.
- Provide all Management Information Reports (MIFS).
- Filing hard and soft copies of all documentation, investigating queries with management in historical paperwork.
- Ensuring office equipment is maintained and operational at all times.
- Communicate with other staff within the department.
- Provide relevant cover during a colleague鈥檚 absence.
- Place all orders requested by the department. All goods to be received in and invoices processed and sent for payment.
- Ensuring the Trusts Financial system is up to date and purchase orders are receipted to ensure expenditure is reflected in budgets in a timely manner.
- Deal with suppliers and accounts payable in terms of shortfalls / alternatives / credits and payments as instructed by management.
- Aid the completion of regular departmental stock takes with management.
