Work Part Time: 18.75 hours per week
You will contribute and commit to promoting a positive team-based attitude, striving for the highest standards of service in order to deliver excellent secretarial support to the Diabetes and Endocrine Department and Management Team, being accountable to the Team Leader and Assistant Service Manager.
You will be expected to work with minimal supervision, exercising independent judgement and using your own initiative. This position ensures an excellent level of Data Quality is maintained when dealing with confidential information in a sensitive manner. The role requires you to be aware of patient and staffÌýconfidentiality at all times.
Main duties of the job
- To provide a comprehensive secretarial service to the Diabetes and Endocrine service nursing teamÌýassociated clinicians, as directed by the Team Leader.
- As directed, arrange routine and urgent patient admissions/appointments by liaising with the patient,
GPs, hospital co-ordinator, wards and other departments as necessary, keeping the team informed andÌýensuring patient notes and all necessary correspondence is available for the admission/appointment. - ÌýTo undertake audio transcription of clinic and miscellaneous digital dictation as required by the Team Leader, ensuring all correspondence is checked by the author and signed off from Medisec beforeÌýdistribution.
- To support with the pump service which involves keeping accurate detailed data for patients using theÌýpump service and ordering what each patient requires.
- To maintain proficiency and accuracy in the use of medical terminology.
- ÌýTo ensure test results are passed to nurses for review in a timely manner.
- To ensure referrals are passed to nurses for grading in a timely manner.
Working for our organisation
The Countess of Chester Hospital NHS Foundation Trust provides services to West Cheshire and to Welsh patients covered by Betsi Cadwaladr University Health Board. The Trust works collaboratively within the wider Cheshire and Merseyside Health and Care Partnership. Its services are provided from three locations:
- The Countess of Chester Hospital: providing 438 general and acute beds
- Ellesmere Port Hospital: providing 56 beds as a rehabilitation, intermediate and outpatient facility

ÌýThe Trust employs over 6258 staff (headcount) which includes temporary bank staff and provides acute emergency and elective services, primary care direct access services and obstetric services to a population of approximately 407,000. This includes 357,000 residents in Chester and West Cheshire which includes Ellesmere Port and Neston as well as the Deeside area of Flintshire which has a population of approximately 50,000.
The Trust is a busy district general hospital and in 2022/2023, there were more than 503,342 patient attendances (inpatient, outpatient and diagnostic) ranging from a simple outpatient appointment to major cancer surgery. This is an increase of nearly 10,000 compared to the previous year when there were 494,387 patient attendances.

Please note applicants will be required to pay for their DBS check. Costs are deducted from salary following appointment. The cost of the DBS application is £27.50Ìý(standard) or £55.50Ìý(enhanced), this cost will be deducted from your salary over the first three months of employment.

New entrants to the NHS will commence on the minimum of the scale stated above.

- NVQ Level II or III in Business Administration/Customer Services/ InformationTechnology
- Computer literate (to ECDL standard or equivalent)

- Recent secretarial/administrative experience
- Audio typing experience
- Working knowledge of Microsoft packages and Word Processing

- Experience as medical support secretary or medical audio typist
- Knowledge/ experience of specific patient administration systems
- Knowledge of Medical Terminology
- Knowledge of NHS or other health/social care settings

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
