Job overview
The Outpatients Department is looking for a motivated and enthusiastic person to work as a receptionist within our busy Outpatient Departments.
This is a challenging role workingÌýacross ourÌývarious different Outpatient departments.
The successful candidate will be expected to demonstrate the following skills:
* Excellent customer service skills.
*ÌýBe able to work well under pressure.
* Communicate well with patients and other staff of all levels.
* Be able to operate effectively as part of a team or using your own initiative.
You will be supported by experienced staff whilst working as part of a team delivering a high quality service to patients and other departments within the hospital.
Main duties of the job
Main duties of the job
- To greet patients in an efficient, friendly and courteous manner.
- To book patients onto the PAS computer and check current details on the system for accuracy.
- Be able to make adjustments to patient details as required, in line with Trust policy, Data Quality and Information Governance.
- Liaise with medical staff and nurses to ensure efficient use of clinic time.
- To mutually agree and book follow-up appointments with patients as they leave the clinic.
- Cache up clinics effectively ensuring all secondary outcomes complete.
- To send out follow-up appointments for those unable to be booked at the time of the clinic.
- Liaise with the appropriate Consultants secretary or Cancel and Rebooks team if unable to book a follow-up appointment.

Detailed job description and main responsibilities
• Ìý ÌýRecord upon arrival and resolve any hospital transport patient issues.
• Ìý ÌýScan notes into the department using the patient tracking system. ÌýEnsure there are no case notes missing. ÌýOrganise received notes into order for clinics.
• Ìý ÌýNotify outpatient nursing staff in advance of any problems, whilst still seeking to rectify them.
• Ìý ÌýSupervise Red Cross/Clinical volunteers.
• Ìý ÌýDeal with telephone calls in a competent, friendly, helpful and polite manner.
• Ìý ÌýResolve problems and deal with all queries at the reception desk with competence.
• Ìý ÌýAttend departmental meetings as arranged.
• Ìý ÌýParticipate in the training and induction of new staff.
• Ìý ÌýAssist with investigations into complaints.
• Ìý ÌýMaintain confidentiality of information about patients, staff and other health service business.
• Ìý ÌýDemonstrate flexibility in hours and working across hospital sites as required meeting needs of the service.
• Ìý ÌýOther reasonable duties relating to the smooth running of the departments.

- Previous experience of reception work or a customer service based role
Desirable criteria
- Previous experience of working within the NHS
- Understanding of medical terminology
Qualifications

- Maths and English A*-C or equivalent
- Fitness / Manual Handling patient notes
- Good computer skills – Experience of working with Microsoft programmes
