Project Support Officer

Job overview

We are seeking an enthusiastic and motivated individual for a digital project support officer role.听 听This is a 12 month fixed-term contract or secondment opportunity, and is to support the delivery of a digital solution which will revolutionise the way patients interact with the hospital. The DrDoctor patient engagement portal provides a broad range of functionality which will enable our patients to manage their appointments online, receive correspondence digitally and access a wide range of supporting information on their electronic devices. This role provides an ideal opportunity for the individual to gain insight into the delivery of a Group wide digital project, along with a grass roots understanding of current processes and how they will be improved for the benefit of both patients and staff.

The post will be based mainly at Castle Hill Hospital , however there is an expectation that the post holder may need to travel to other sites within the Group as required by the project.

Main duties of the job

The key duties of the job include the following

  • Arranging meetings, and pulling together meeting packs for distribution, meeting minutes
  • Tracking and updating project actions, risks, issues, decisions
  • Project tasks as appropriate to deliver parts of the project
  • Liaising with the Trusts services, and stakeholders
  • Liaising with the technical teams, project manager, project lead
  • Managing the project inbox
  • Point of contact for the project, answering queries, and directing people to the most appropriate person
  • Assisting with project documentation, including ensuring appropriate version control, and that the latest versions of documents are filed in accordance with programme management office (PMO) guidelines.
  • Supporting the implementation of the solution as part of the implementation team

Qualifications

Essential criteria
  • Good standard of general education to GCSE level of equivalent, including Maths and English Language
  • Advanced ECDL or equivalent
Desirable criteria
  • Evidence of academic achievement preferably to diploma level or equivalent
  • Programme Office Qualification
  • Advanced ECDL or equivalent

Experience

Essential criteria
  • Experience of working within a project, IT or admin support environment
  • Proven experience of file management, planning and reporting
  • Experience of Microsoft Office products
  • Team Working
  • Proven ability to take and produce accurate minutes of meetings
Desirable criteria
  • Experience of project support within an NHS setting
  • Using hospital patient administration and/or clinical systems
  • Experience of working with multi-disciplinary teams
  • Experience of using MS project, visio and access
