Job overview

The post holder will work for Provide as part of the Children’s and young people’s SEND therapy service within the community. The role is to support the management of the service, liaising with the contractors and providing support for data.

Main duties of the job

Day to day operational management of data systems, which may be across a range of sites. 
ï‚· Develop, manage, and maintain internal systems, process and procedures to ensure effective service provision.
ï‚· Develop and implement appropriate computerised business and administration systems, which are appropriate to the service.
ï‚· Contribute to strategic and service planning by supporting project delivery within the identified service.
ï‚· Provide support to senior managers in project work as directed including preparation of documents
ï‚· Provision, collation and analysis of reports and statistics some of which are complex.
ï‚· Maintain data quality on the relevant databases/systems and take appropriate corrective action.
ï‚· Contribute to the development of preventative and corrective solutions to address performance and performance reporting problems and monitor their implementation as required.
 Deal with staffing issues in accordance with relevant policies e.g. performance, sickness absence. 
ï‚· Ensure training compliance of staff.

Detailed job description and main responsibilities

ï‚· Contribute to strategic and service planning by supporting project delivery within the identified service.

ï‚· Provision, collation and analysis of reports and statistics some of which are complex.
ï‚· Maintain data quality on the relevant databases/systems and take appropriate corrective action.
ï‚· Contribute to the development of preventative and corrective solutions to address performance and performance reporting problems and monitor their implementation as required.
 Deal with staffing issues in accordance with relevant policies e.g. performance, sickness absence. 
ï‚· Ensure training compliance of staff.
ï‚· Oversee the paperwork and admin for the recruitment and selection process for vacant posts.
ï‚· Assist with internal audits as and when required.
 Oversee the servicing of meetings i.e. minute taker, venue is booked and ensure distribution of agenda, minutes and appropriate documents. 
 Transcribe and distribute complex minutes at various meetings 
ï‚· Jointly responsible for monitoring/maintaining building/environment re liaison with Estates department where required.
 Deal effectively with queries received some of which may be complex and ongoing either face to face, electronically or by phone, from a range of sources, referring on where appropriate. Queries may be from service users, relatives, staff, members of the public, contractors and other services/agencies and professionals. 
ï‚· Raise and/or oversee the receipt, checking and timely payment of invoices from suppliers to ensure financial pathways are efficient and effective.
 Maintain accurate budget records and financial statements when required to assist senior managers with the monitoring process. Advises Managers and/or Head of Service of spending trends and advises of potential overspending throughout the financial year.
ï‚· Attend and provide input into relevant meetings across the breadth of the role, ensuring effective and relevant communication with appropriate colleagues / stakeholders and any follow up action is carried out.
ï‚· Record and deal with complaints within remit of own role.
ï‚· Provide/facilitate training and support in all Information Technology systems specific to the service.
ï‚· Contribute to the formulation, implementation and monitoring of operational policies within the service, taking a lead where required.
ï‚· Ensure effective and timely communication of information across the service area and taking follow up action as and when required.
ï‚· Actively contribute to the ongoing development and improvement of the service.
ï‚· Develop and support the services in achieving the specification of CQC and ensure timely preparation for visits and inspections.
ï‚· Ensure electronic systems are maintained and liaising with Information Technology to ensure contingency plans are in place if systems fail
