We are looking for an administrator to provide a secretarial/administrative service for the friendly inpatient unit, on our Kingsley Green site Radlett

You will be the first point of reference and as such must display a considerable degree of initiative, possess mature
judgement and maintain a calm, friendly and efficient manner when dealing with service users, their relatives, colleagues and visitors.
You will be required to work independently using initiative, and
applying a high degree of confidentiality to all your work. Undertake nonroutine duties without direct supervision, working within broad procedural guidelines.

Main duties of the job
- have excellent IT/Microsoft Office skills
- be able to take notes in meetings and provide accurate minutes of meetings
- have experience of dictation
- support the psychiatrists, junior doctors and ad hoc clinical staff with administrative tasks, including clinic letters, reports, appointment letters
- assist the team with room bookings and provide support to the Consultants and ward teams
- maintain confidentiality

Detailed job description and main responsibilities
- To be proficient in the skill of note taking and be able to manage multiple meeting notes in their workload.
- Responsibility for ensuring all correspondence is accurately and appropriately presented using current methodologies and medical terminology used by the team.
- To be highly skilled and experienced in the full range of secretarial work practices, software programmes, and specialised functional terms.
- To use proficient internet skills to access, search and retrieve data relevant to team.
- To use audio as necessary in daily work, using Big Hand Dictation system (training provided in Big Hand).
- To use knowledge, and experience to meet the needs of the teams by completing non-routine tasks on a daily basis.
- To update skills as necessary and attend mandatory training
- To demonstrate excellent IT skills, a good working knowledge of all Microsoft Office applications and accurate audio typing is essential.
- Ensure flexible approach to work and be able/willing to travel to other sites using own car within North Herts to take notes, if necessary.
- To access and update patient records using Paris database, although training will be provided.

Qualifications
Essential criteria
- RSA III/NVQ 3 or equivalent
- Advanced keyboard skills
- Trained and experienced at intermediate level in a range of software packages; Word, Excel, Publisher, Outlook, PowerPoint, Microsoft teams
- Good working knowledge of email and internet
- Good standard of English
- Numerate
- Advanced secretarial skills such as audio and shorthand
- Experience in a mental health environment or NHS
Desirable criteria
- Some experience in a secretarial environment
- Diary/Management/Outlook management
- Knowledge of terms used by Mental Health in their day to day working
Experience
Essential criteria
- Evidence of the ability to organise and plan complex events, such as training sessions and the therapy groups
- The ability to organise and prioritise own workload within any specified guidelines where guidance is not readily available, but at set intervals
- Proficient in diary management coordinating appointments to ensure best use of Managers’ time
- Experience of transcribing formal minutes of meetings
- Experience of supervising and training others
- Independent/lone working and team working skills
- Experience of adapting to change and managing work in a changing environment
- Evidence of ability to be flexible and show initiative, sensitivity and enthusiasm to work
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
