Main duties of the job

You will work alongside other experienced, friendly admin support workers within the Specialist Nursing Services. 馃捇馃摓
Your main roles will include:
馃搮 Booking appointments
馃枼锔 Registering patients on the computer system
馃搳 Managing databases and filing systems
馃摓 Answering phone queries
馃搵 Providing administrative support to the Specialist Nurses and other team members

Detailed job description and main responsibilities

馃摓 Respond to Enquiries
- Handle external and internal telephone enquiries from staff, patients, and others with efficiency, tact, and diplomacy.
- Ensure that messages and information are quickly relayed to the appropriate person.
馃挰 Effective Communication
- Communicate with a wide range of staff, patients, and visitors using verbal, electronic, and other methods, ensuring information is tailored appropriately to the individual鈥檚 needs.
馃捇 Database Management
- Use databases and computer systems to create and maintain records, ensuring they are accurate and updated.
- Generate statistics for analytical purposes where needed.
馃摝 Consumables and Filing
- Assist in ordering patient consumables to support the team's needs.
- Ensure accurate filing of patient investigations and correspondence, making them available on Evolve.
馃摤 Mail Sorting
- Collect and sort incoming mail, ensuring it reaches the relevant Specialist Nurses or healthcare professionals for action.
馃枃锔 Administrative Support
- Provide secretarial and administrative assistance to the Children's Community and Specialist Nursing Team, ensuring smooth operation and effective service delivery.
Person specification
Qualifications and Experience
Essential criteria
- Good general education. Minimum GCSE in English and Maths grade A-C.
- RSA 2 or equivalent
Desirable criteria
- RSA3 typing qualification or ECDL or equivalent.
- Typing speed of 60wpm.
Knowledge & Experience
Essential criteria
- Efficient use of Microsoft Word, Excel, Powe point, email and intranet.
- Able to manage own workload and work autonomously as part of a team
- Demonstrate a commitment to continuing personal and professional development.
- Experienced and competent minute taking. Knowledge of medical terminology.
Desirable criteria
- Advanced knowledge of medical terminology.
- Use of Trust IT packages ie. Harris Flex, Alma, Evolve.
- Previous admin experience in the NHS environment.
Skills & Abilities
Essential criteria
- Ability to use own initiative
- Ability to prioritise work
- Possess excellent communication skills
- Ability to work under pressure and ensure completing priorities are resolved
- Ability to liaise and coordinate with other bodies internal and external departments
- Excellent IT skills
Applicant requirements
