Job overview

We are looking for a friendly, reliable, hardworking administrator to join our committed Children & Young People (CYP) Services to support the Management Team/Service.Ìý This is an office-based position with some flexibility for home working but there may be a requirement to travel across the county for meetings/training or to support the needs of the service.Ìý Mileage will be paid.

You should have proven administrative experience and possess excellent organisational and communication skills with the ability to problem solve.Ìý There is a specific requirement for note taking and providing administration support to internal and external meetings.Ìý You should be competent with the use of Excel, Outlook and Microsoft Teams.

We are looking for someone flexible with the ability to work on their own or as part of a wider team.Ìý You will be a key member of a friendly team and service who will help to support all teams in times of need with contributing to the smooth and efficient running of the office.Ìý This will include referrals processing, typing and formatting of correspondence, and other data requirements using our clinical system. Ìý

Main duties of the job

To undertake administration Ìýduties in support of clinical and non-clinical activity in the CYP Service ensuring administrative support is available to management team and service as appropriate.

This will include, but is not limited to:

  • To assist with coordinating meetings including the provision of note taking, preparation and circulating supporting documentation.
  • Diary management.
  • Gathering information and data inputting.
  • Help to assist with data monitoring using Excel housekeeping reports.
  • Inputting referrals onto the clinical system.
  • Organising and contacting young people and families by telephone or letter to offer an appointment.
  • Typing letters and correspondence using audio/copy typing and word processing systems.
  • To provide reception support if required.
  • Liaising with internal and external providers.
  • Navigating and updating clinical systems and electronic databases.
  • Maintaining the services' shared online workspace/website if required.
  • Management and coordination of rota tasks.

Qualifications

Essential criteria
  • NVQ 3 in Business Administration or equivalent qualification or relevant experience
  • Good standard of general education including English
Desirable criteria
  • RSA or equivalent qualifications

  • Considerable experience in an office administration role
  • Extensive experience of Microsoft Office packages, including Word, Excel, and Publisher
  • Typing and formatting letters
