Job overview
The post holder will work within the Newham Mental Health Community teams; using their own initiative to support the processing of referrals for screening; attend subgroup meetings; prepare the teams caseload for weekly discussions; monitor their consultants caseload with the Consultant;Â gather data where necessary; manage clinics, book clinic appointments; send out clinic outcome letters; monitor KPIs; set up CPA meetings; communicate with other Administrators and clinical staff;Â support the data management processes and generally provide an administrative service which will help to bring out the best in the clinical team.
Main duties of the job
You will need to have a good command of the English language; able to read and understand letters; have excellent Microsoft Office skills including an understanding of Office 365; able to undertake Administrative/secretarial tasks such as opening and closing of cases; managing diaries, typing of letters, taking minutes at meetings, manipulating databases, understanding RiO; and to be the face of your Consultant in their absence taking messages and reporting back in a fitting and timely manner. You will need to have a flare for organising, as you will be expected to provide an efficient and responsive administration provision to a multi-disciplinary team; ensuring service delivery needs are met and Consultants and their team are fully supported.Â

Detailed job description and main responsibilities
You will be a self-starter and It will be vital for you to have effective minute taking; which are essential requirements of the role as well as; being educated to GCSE standard as a minimum. A knowledge of RiO or NVQ level 3 in Business Administration would be an advantage.  Â
You should be able to work under pressure; willing to go the extra mile; have a minimum of intermediate/advanced knowledge of Microsoft Word, Excel, Outlook and Office 365; have a good command of the English language; be proficient in typing and able to make basic corrections to letters; have good interpersonal skills, a good attitude towards work; a good work ethic; be flexible, able to promote good working relationships and maintain patient confidentiality.Â

Essential criteria
- Educated to GCSE standard or equivalent level of experience.

- Experience of working in an administrative capacity within a team setting.
- Demonstrable experience of administrative processes.

- Experience of working in a culturally diverse inner city area. Basic cash flow management.
Knowledge and Skills
Essential criteria
- Knowledge of Microsoft Office 365 & its applications

- Good communication and interpersonal skills including the ability to communicate effectively verbally and in writing

Desirable criteria
- An understanding of office procedures
- Understanding of hospital and/or social services environments. Knowledge and understanding of medical terms.
- Knowledge of the Data Protection Act.
- Other windows packages, for example: Excel, PowerPoint, Teams WebEx and Access.
