We have an exiting opportunity for a team administrator to work within a busy CAMHS team, providing admin support to a multi disciplinary team.
We are looking for a motivated and friendly individual to be an initial point of contact for the service and respond to all enquiries in a professional and sensitive manner.Ìý To provide a responsive, comprehensive clerical and administrative service to the multi-disciplinary team, to support them to provide an efficient and effective service for the benefit of this complex, and often challenging client group.
Main duties of the job
·ÌýÌýÌýÌýÌýÌý To act as an initial point of contact and deal with telephone enquiries from colleagues, external agencies, service users and their relatives in a professional and sensitive manner and able to relay messages accurately and timely.
·ÌýÌýÌýÌýÌýÌý To process incoming and outgoing correspondence and distribute accordingly without delay, in accordance with Trust policies and procedures.
·ÌýÌýÌýÌýÌýÌý To organise and book meetings and other events (such as training sessions, conferences etc) as requested, liaising with the key stakeholders to ensure that their needs are met.
·ÌýÌýÌýÌýÌýÌý To attend meetings, and take minutes if requested, in an accurate and concise manner and to ensure they are typed, distributed, and stored, in accordance with group Terms of Reference and Trust policies and procedures.
·ÌýÌýÌýÌýÌýÌý To provide a full range of secretarial duties, including audio and copy typing of reports, letters, client assessments, case reviews, and general information using a full range of Microsoft Office software, responding to requests, and meeting tight deadlines, to ensure needs are met.
·ÌýÌýÌýÌýÌýÌý To provide responsive administrative support to the multi-disciplinary team, for example, collating information packs and training materials.
·ÌýÌýÌýÌýÌýÌý To take responsibility for arranging appointments, maintaining diary systems and distributing essential information in a timely manner.
·ÌýÌýÌýÌýÌýÌý To input and maintain the Trust electronic record systems in an accurate and timely manner, adhering to Trust and Directorate deadlines.
·ÌýÌýÌýÌýÌýÌý Take responsibility for ensuring Patient electronic records are kept up to date.
·ÌýÌýÌýÌýÌýÌý Ensure all service user information is available to clinical staff as required.
·ÌýÌýÌýÌýÌýÌý Maintain accurate attendance records for clinics within Patient electronic records.
·ÌýÌýÌýÌýÌýÌý To be responsible for the archiving and retrieval of records in accordance with service demands and the Trust Health Records Management Strategy.
·ÌýÌýÌýÌýÌýÌý To order goods as requested by the multi-disciplinary team in line with the Trust Standing Financial Instructions and to manage petty cash.
·ÌýÌýÌýÌýÌýÌý To take part in team meetings and development days working with your service managers, to review working practices and procedures, develop best practice, and subsequently ensure that all policies are fully implemented within the required portfolio of work.
·ÌýÌýÌýÌýÌýÌý To actively work as part of a team to create working conditions conducive to providing better and fairer services to service users, their families and the wider community.
·ÌýÌýÌýÌýÌýÌý To value, promote, and manage diversity, and to actively encourage equality of opportunity in all areas of one’s work.

Qualifications
Essential criteria
- Educated to GSCE level including maths and english
- Typing / word processing qualification RSA 3 or equivalent or demonstrable experience
- Highly developed office management skills
Desirable criteria
- NVQ Level 2 in business administration or equivalent
- ECDL or equivalent IT qualification or experience
- Minute taking
Experience
Essential criteria
- Experience of working with an electronic patient record system
- Extensive experience of general office secretarial work
- Experience of summarising and note taking to capture the main points of a discussion/informal meeting
Desirable criteria
- Experience of working in the NHS particularly in a Mental Health setting
