Job overview

The post holder will be expected to work autonomously in managing the day-to-day delivery of the administration service and Dental Nurses. This will include;

Participating in weekend cover on a rotational basis.

Use initiative and manage queries autonomously, escalating concerns as appropriate.

Staying up to date with national government guidance and guidelines, offering this guidance as advice when appropriate.

Handling significant quantities of confidential and business sensitive information on behalf of the Service.

Responsible for own personal development and setting of personal goals and objectives as part of the health board appraisal process.

Main duties of the job

Work autonomously, using their own initiative to resolve issues and investigate queries or issues and make judgements upon their resolution.Ìý

Co-ordinate and arrange a variety of service and management meetings on behalf of the Manager and the Service, liaising with internal/external agencies and a variety of disciplines.

Discuss and agree with colleagues the way forward to effectively plan, implement, and manage changes within the administration service. Follow guidance and procedures and escalate any concerns to either the Senior Manager or appropriate clinician depending on the nature of the query.

Act as the key point of contact for all business-related issues within the service, ensuring effective liaison/communication between the service and other areas of the Directorate, the Health Board and external organisations communicating with a range of staff and members of the public/patients, passing on information clearly and succinctly and in a manner which the recipients will understand and which is appropriate.

Responsible for the day-to-day supervision and line management of the Administration team responsible for PADR, sickness etc. Have responsibility, day to day, for the delivery of processes, ensuring that agreed processes are followed by the team and that members of staff and the public are able to access services in a timely and effective way. This will include communicating and signposting to appropriate guidelines where appropriate.

Detailed job description and main responsibilities

Respond to information requests in a timely manner, this will include compliance with Freedom of Information requests and ensuring coordination of responses and appropriate approval.
Participate in the services’ monthly business meetings and contribute to the information provision in these meetings and ensure that systems are in place for effective communication and dissemination of information through the wider testing team.


Digital and Information
Maintaining accurate records in accordance with legislation, policies, and procedures, respecting and maintaining confidentiality at all times throughout the team. Ensuring information is accurate, relevant, and shared appropriately.
Being responsible for the storage of administration information and ensure that data/information is stored and retrieved in accordance with the GDPR regulations and acts in compliance with Health Board policy on Records Management.

Qualifications and/or Knowledge

Essential criteria
  • Appropriate degree level qualification in related area or equivalent demonstrable experience
  • Developed knowledge and confidence in the use of IT software packages including Word, Excel, PowerPoint, Email, Electronic Diaries, and Internet
  • bility to collate, analyse and draw conclusions from data and present reports in a variety of formats
Desirable criteria
  • Experience using Welsh Clinical Portal (WCP), Welsh Patient Administration Services (WPAS)
  • Knowledge of Dental Services

Experience

Essential criteria
  • Experience of working in a Business Support Management Position
  • Experience of managing staff
  • Experience managing operational activities
  • In depth understanding of data protection, information governance and confidentiality legislation
  • Excellent organisational skills, with demonstrable experience of managing conflicting and multiple demands.
Desirable criteria
  • Experience using and managing E-Rosters
  • Experience working within the NHS
  • Experience of working in a logistics environment
  • Experience of report writing and strong information technology expertise
