An exciting opportunity has arisen for a Admin Assistant based in The Radiology Department at both University Hospital Coventry and Rugby St Cross Hospital.

We are inviting applications from individuals with excellent organisation skills, ability to work on your own or as a member of the wider admin team. The successful candidate will be able to communication with staff, servicer users, visitors and carers in a professional manner. The successful candidate must be computer literate, able to use Microsoft office packages and a good telephone manner.

Hours of work 

Monday to Friday 

Shift one 0800 - 1600

Shift two 0900 - 1700

At least one shift a week at Rugby St Cross.

Main duties of the job

You will be working front line in a challenging environment and should have the ability to interact with patients and staff on a daily basis in an efficient and friendly way and stay calm in any situation. You will be responsible for ensuring that the correct information is recorded using a variety of IT systems, whilst dealing with a variety of queries. You must be motivated, with good communication, inter-personal and administration skills.

You will be required to demonstrate sensitivity, an awareness of patients' needs and a commitment to improving the patient experience.  As the first point of contact for patients using the service you will be responsible for greeting, arranging appointments, dealing with general enquires.

Detailed job description and main responsibilities

1.    Act as the first point of contact for patients and visitors dealing with routine enquiries and act as necessary liaising with others as appropriate.  

2.    Booking in patients for their appointments 

3.    Processing of referrals in line with Departmental guidelines.

4.    Maintain an efficient and comprehensive administrative service, including photocopying, providing support to the departments and other team members as requested.

5.    Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines. These systems may include Soliton and ESR.

6.    Maintain both manual and electronic filing systems and databases, as required by the department and Trust policies, ensuring all documents are accurately and appropriately archive

7.    Responsible for the dissemination of all relevant information to departments, external and internal users (e.g. dissemination of minutes, memos)

8.    Assist with training new team members in Trust operational systems and department procedures.

9.    Communicate with staff, patients and/or external organisations using appropriate methods.

10.    Responsible for the receipt and distribution of incoming/outgoing post  and action accordingly

11.    Prioritise daily tasks to achieve timescales set.

12.    Act as first point of contact for complaints within the department, dealing with them accordingly and in line with Trust policy and departmental standards.

13.    Provide appropriate cover in the absence of other members of the team.

14.    Continually contribute to patient and business improvement Agendas. Share ideas for potential service improvement.
