Probationary Period

All new staff to the Trust will be subject to a standard 6 month probationary period, the details of which will duly follow in your contract of employment.

Agile and Flexible Working

All our staff will have a work base. However the Trust operates as an Agile Working Team therefore staff may be working from home on a regular basis as required by the service. However, occasionally travel around Warwickshire and into your base will be required so access to your own transport would be helpful.

Job overview

While prior experience of working in in a similar role would be an advantage, this not essential as full training and support will be given.

Please be advised that there will be potential work in the Pharmacy Department in the the near future - the job description and person specification in this advert is to reflect this. 

Main duties of the job

To participate in the provision of clerical support services to the Pharmacy department. The post holder has a large involvement in the efficient and timely processing of invoice verification and provides significant clerical and IT support to the department as a whole.

Detailed job description and main responsibilities

Relationships:

  • Managed by the Pharmacy Administration Manager.
  • Works with other clerical staff within Pharmacy.
  • Liaises with other Pharmacy professional, technical and assistant staff.
  • Co-operates with other health care staff throughout the Trust.
  • Provides customer service to visitors to the Pharmacy department.

General Duties

  •         To process purchase documents on the JAC computer system in accordance with standing financial instructions.
  •          To identify and document non-compliance with regional contracts and local purchase deals and to notify discrepancies as appropriate.
  •          To receive and distribute incoming mail for all staff.
  •          To receive and respond to enquiries from colleagues and external suppliers on the telephone and via email, escalating to supervisor as appropriate.
  •          To provide secretarial support, filing, database management and photocopying for Pharmacy staff as required.
  •          To undertake reception duties for all visitors to the main Pharmacy.
  •          To raise requisitions on the Estates department for maintenance and monitor progress as necessary.
  •          To follow up on any outstanding invoices in a timely manner, keeping senior staff informed of progress.
  •          To maintain the Pharmacy document archives in a neat, orderly and safe fashion to ensure that any document is readily retrievable.
  •          To assist with homecare enquiries and escalate to the appropriate person
  •          To assist in the booking out of the aseptic manufactured products on the JAC computer system.
  •          Managing senior staff diaries and booking meetings as required.
  •          To check department stationery stock levels and re-order low items as necessary.
  •          To ensure any issues with suppliers and stock are flagged to senior staff as a priority.
  •          Any other duties as required by the Pharmacy Admin Manager in accordance with this grade of post.

Qualifications

Essential criteria
  • GCSE or equivalent English and mathematics
  • RSA level II or equivalent

Experience

Essential criteria
  • Previous experience of dealing with suppliers.
  • Previous work in an office environment.
Desirable criteria
  • Previous experience of dealing with the public.
  • Previous experience of computerised stock control and invoicing.

Skills & Knowledge

Essential criteria
  • Computer literate– familiar with MS Office
  • Able to use e-mail and Internet.
  • Good command of written and oral English language
  • Able to plan daily tasks, prioritising as necessary
