Job overview
The Professional Support and Wellbeing (PSW) Team operates across the Midlands, dedicated to supporting resident doctors and dentists in training. Our primary focus is providing personalised, one-on-one support tailored to the specific needs of these professionals.Ìý
The Coordinator role is part of the Training and Education sub-directorate of WT&E in the Midlands. This sub-directorate is responsible for effectively planning and delivering education and training.
Our team is committed to helping residents advance their training and providing solution-focused interventions for those facing challenges. This role will serve as the first point of contact for the operational delivery of Professional Support and Wellbeing services to support medical and dental trainees, offering information, advice, and guidance on a wide range of educational, health, and wellbeing opportunities.
We are seeking individuals with exceptional leadership, management, and organisational skills, who excel in relationship management, and possess a keen eye for detail. The ability to analyse and report data to meet KPI’s is essential.

Main duties of the job
- Facilitate and conduct meetings with resident doctors and dentists to assess the level and nature of training challenges, often in emotional and occasionally distressing situations. Collaborate with manager and clinical lead to develop a strategic path forward.
- Identify and investigate the root causes of concerns and assess the urgency of required interventions.
- Analyse information in collaboration with the manager and clinical lead and the available support options to create a personalised support plan.Ìý
- Contribute to the ongoing design and development of services to effectively enhance the service delivery.
- Utilise developed empathetic skills to interpret complex information in challenging and emotional circumstances related to performance improvement.Ìý
- Maintain high standards of own performance and behaviour, setting an example for others. Provide guidance and support to your team and work collaboratively across the broader team to ensure business objectives are met, including providing coverage, as necessary.
- Exhibit excellent communication skills, both written and verbal, and confidently build and maintain strong working relationships within the team and with stakeholders. Be solutions-focused, manage your time effectively, and lead and inspire those around you to achieve outstanding results.

Colleagues with a contractual office base are expected to spend, on average, at least 40% of their time working in-person.

The post will be the first point of contact for the operational delivery of the Professional Support and Wellbeing services to support medical and dental trainees. Provides information, advice, and guidance on a wide range of educational, health and wellbeing opportunities.
The postholder will:Ìý
- To be responsible for overseeing the confidential counselling service to trainees as needed, providing a responsive service.Ìý
- To provide regular audit information to the regional and national managers regarding numbers supported and types of issues.Ìý
- To present service information at regional team meetings and communicate developments in wellbeing management.Ìý
- To be involved in promoting wellbeing service as part of project awareness eventsÌý
- To liaise with clinical lead for PSW on a regular basisÌý
- To be responsible for advice and support to local teams on wellbeing management.Ìý
- To have thorough knowledge of the Mental Health provision both locally and nationallyÌý
- To contribute to the safeguarding and promotion of personal care of traineesÌý
- To provide educational sessions to trainees specifically around professional health and wellbeing servicesÌý
- Plan, co-ordinate, deliver and monitor a programme of support to individual trainees ensuring if required additional support services are informed.Ìý
- Work alongside and deputise for the Manager carrying out duties in their absence.Ìý
- Will take on individual case load offering front line mental health first aid.Ìý
- Create and co-ordinate Individual support packages enabling trainees where possible to continue with their programme.Ìý
- Highlight where issues concerning the welfare of the trainees or integrity of the placement are at risk.Ìý

Qualifications
Essential criteria
- Educated to postgraduate level in a relevant subject or equivalent level qualification or significant experience of working at a similar level in specialist area.
- Evidence of continued professional development demonstrating a breadth of knowledge of management and financial skills relevant to the job and organisation
Desirable criteria
- Specialist knowledge across a range of work procedures and practices which require expertise within a specialism or specialist knowledge across a range of areas underpinned by theoretical or practical knowledge or experience including counselling and emotional wellbeing techniques.
- Recognised training or relevant experience in counselling, mentoring, or coaching.
Knowledge and experience
Essential criteria
- Knowledge of the issues surrounding Diversity & Inclusion, Neurodiversity, Disability and Social Deprivation.
- Track record in stakeholder management with the ability to influence key decision makers and drive change.
- Significant experience of successfully operating in a politically sensitive environment with diverse stakeholder input.
- Experience of taking information from multiple sources and providing analysis, summary, and options within detailed report information.
- Detailed knowledge of maintaining confidentiality and implementing data protection legislation requirements including information governance.
Desirable criteria
- Experience of developing team members’ skills in supporting trainees’ emotional wellbeing i.e., developing supported packages to interns and programmes of support.
- Evidence of working on a supported internship programme with people with neurodiversity and/or disability.

- Ability to support the regional team and external placement providers to promote and maintain the emotional wellbeing of the trainees – considering the wider impact of their decisions on the project and project partners as a whole.
- Ability to manage people’s expectations and adapt communications to take account of the complexity of communication needs including referring and working in multi- disciplinary teams.
- Demonstrated capability to present, be diligent and explain highly complex, or sensitive information to trainees or staff groups may have differing opinions or views where challenge or resistance may exist.
- Ability to work effectively as part of a team and autonomously to deliver expected outcomes in a changing environment whilst. having the freedom to determine how best to deliver these this includes supporting trainees with anxiety, stress, and potentially other mental health issues.
- Ability to ensure data collated identifies need and where additional resources need to be placed.
- Ability to determine the appropriate course of action where analysis and judgement of a range of complex and potentially conflicting information is required this will include information from trainees during a time of emotional stress and anxiety or who may be neurodivergent and information from other professional support teams.
Desirable criteria
- Ability to collate complex qualitative and quantitative information and produce meaningful analysis of information to support decision making. Includes drafting reports and other documents as required for additional support information for complex reviews.
- Act as a role model for team in terms of delivering high performance and high-quality work alongside and the development of others to manage time effectively and respond positively and flexibly to differing workloads and priorities will be on a daily need by need basis this will need to manage via calls coming in and urgency of need decided.
