Job overview

To facilitate the delivery of high quality patient care by performing administrative duties for the Offender Health team and clinicians. The post holder will be expected to work with the minimum of supervision and make a direct and positive contribution to the service.

The duties and responsibilities listed below are not intended to be exhaustive and the post holder will be expected to adopt a flexible approach when the needs of the service require.

Main duties of the job

To be responsible for typing prison clinic letters for all prison specialisms in a timely manner.Ìý

To be proficient in use of Big hand/ Dictaphone to ensure accuracy.Ìý

ÌýTo clearly document as per standard operating procedures for prison clinics.

ÌýTo liaise with clinicians and their secretaries and prison administrative staff to arrange swift sign off and return of clinical information for all parties.

ÌýTo enter and maintain all relevant patient information onto the Trust patient administration system (SystmOne) including accepting incoming referrals, booking appointments and out coming appointments.

ÌýTo maintain the efficient running of the office by carrying out routine clerical duties and upholding a robust filing system.

ÌýTo support and arrange appointments and to communicate the relevant information (date, time and place) with all relevant parties (clinician, secretary, prison administrative staff).

ÌýTo support prison clinics and ensure that appointments are arranged in accordance with national waiting times and Trust policies.

ÌýTo support prison clinics and be present or available for Telemedicine consultations in order to help the clinician operate the Telemedicine equipment if required.

ÌýTo maintain professional relationships with all stakeholders (PSMs, GMs, commissioners, prison admin, consultants, administrators, secretaries, local trusts and their clinicians etc.).Ìý

Person specification

Qualifications

Essential criteria
  • Relevant NVQ 3 Level or equivalent level of knowledge/experience
  • OCR 3, or equivalent qualification or OCR 2, or equivalent qualification plus relevant recent secretarial experience
Desirable criteria
  • ECDL qualification
  • PRINCE2 Foundation Certificate
  • Use of big hand

Experience

Essential criteria
  • Experience of maintaining administration systems
  • Proficiency in Microsoft Office
  • Understanding the need for confidentiality
  • Experience in dealing with wide and varied customer queries / complaints
  • Previous secretarial / office manager experience
  • Information analysis experience including collating, analysing and presenting information
Desirable criteria
  • Previous medical secretary experience
  • An understanding of medical terminology
  • Experience of accessing information from the Intranet/Internet

Knowledge

Essential criteria
  • Knowledge of the NHS Constitution & ‘Understanding the New NHS’

Skills

Essential criteria
  • Excellent organisational, co-ordination and planning skills Highly developed interpersonal skills

Applicant requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
