An opportunity has arisen for a Band 4 Primary & Community Development Officer to join the NHSE South West Region Primary, Community and Personalised Care Team. The post-holder will provide administrative support across a range of deliverables specifically for theÌý Primary, Community and Personalised Care Team.Ìý

Main duties of the job
- Function as a point of contact for the Primary Community and Personalised Care (PCPC) Team, dealing and responding effectively with complex and sensitive information from a wide range of stakeholders. Use judgement to pass on relevant information in a timely manner to appropriate team members, sensitively and autonomously whilst maintaining confidentiality and adhering to NHS Policies.Ìý
- Monitoring and managing the generic PCPC mailbox, dealing with queries, internally and externally, for the three PCPC Portfolios/Programmes: Urgent Response and Acute Deterioration, Intermediate and Long-Term Care and Preventative and Pro-active Care.Ìý
- Prepare agendas, take meeting action notes, track, and follow up on actions and distribute action notes of meetings.Ìý
- Provide support to PCPC team meetings, including organising meetings, booking rooms, and ensuring papers are ready and distributed for meetings. Collating actions notes and circulating as appropriate after the meeting.
- Managing the electronic diary for the Directors as agreed, for example deputy/medical directors.
- Working together with other PCPC team administrators to provide an effective network of communication including dealing with visitors and being flexible to cover other PCPC team administrators’ general duties.
- Provide efficient and effective administrative support to the members of the PCPC team.

Detailed job description and main responsibilities
Planning & Organising
- Undertaking all administrative duties such as photocopying, printing and sorting and prioritising e-mails where required. Distributing as appropriate.
- Managing the electronic diary for the Directors as agreed, for example deputy/medical directors.Ìý
- Organisation and administration of networks, meetings, workshops, and events both internally and externally as directed, providing all necessary supporting materials.
- Plan and co-ordinate appointments, including rearranging and prioritising as appropriate.
- Provide support to senior team meetings, including organising meetings, booking rooms, and ensuring papers are ready and distributed for meetings. Collating actions notes and circulating as appropriate after the meeting.
- Undertake the organisation and planning of events as directed.
- Supporting the wider team with travel arrangements by signposting to the Standard Operating Procedure (SOP) for booking travel and accommodation in accordance with NHS policy
Service Improvement
- Develop and maintain effective electronic filing systems ensuring information is secure and accessible to other team members.
- Establish and monitor processes within the team that support improved efficiency, quality, and effectiveness across programmes.
- Support team members in the collection of information for performance reporting on relevant team activities.
- Create databases and spreadsheets. Input, monitor, and check data produced as required for on-going and time limited activities.

- Flexible approach to work in line with the needs of the team.
Analysis & Judgement
- Provide and receive complex information which may contain contentious and sensitive information.
- Ability to analyse and interpret information, identify, and evaluate issues, and recommend an appropriate course of action to senior managers.
Communication
- Be the key point of contact for enquiries for the PCPC team.
- Ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in an appropriate and timely manner.
- Manage routine correspondence and draft routine responses, ensuring that it is accurate and provided in a timely manner.
- Ensure that any complaints, comments, and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating to senior managers when appropriate.

- Provide cross cover for PCPC team administrative colleagues as required.

Qualifications
Essential criteria
- Educated to NVQ Level 4 in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
Experience
Essential criteria
- Experience of drafting general correspondence. Intermediate knowledge of IT programmes and platforms such as Microsoft Outlook, Teams, Word, PowerPoint, Excel, and SharePoint.
- Adaptability, flexibility, and ability to cope with uncertainty and change.
- Able to undertake duties effectively and accurately, working on own initiative unsupervised, within defined policies and procedures to set timescales.
Desirable criteria
- Experience of collaborating remotely with a team who are geographically based across multiple locations across the region and nationally.
- Experience of working in a healthcare or public sector environment.
Skills
Essential criteria
- Strong organisational skills and ability to prioritise work and manage stakeholder expectations.
- Ability to work at pace in a busy working environment and able to multi-task.
